Creating a User
Any time that a person needs to be given access to DB Precision, you will need to create a User for that person. To create a User, follow the following steps (please note that only System Administrators may complete these steps):

  • 1) Create the User: press File and then select New - User from the menu. This will result in a tab being created containing a new User.
  • 2) Specify Basic Information: double-click the User ID/Name (top item in the tab). This will open the Basic User Information Screen. Make sure to provide a first, middle (if applicable), and last name for the new User on this screen as this will allow DB Precision to create a User ID in accordance with the standard for assigning User ID*.
  • 3) Select a Group Name: if the User is to be part of a User Group, then select the corresponding Group Name. If not, then Group Name should appear as (all users).
  • 4) Specify an Email Address: make sure to provide an Email Address as this is used for portal and Worktrack notifications. Once done, press OK to close the Basic User Information Screen.
  • 5) Specify Standard Rights: (only applicable if User is not part of a User Group) double-click on the item Standard Rights to open the Standard Rights Screen to specify standard User rights.
  • 6) Adding Sponsor Rights Exceptions: (only applicable if User is not part of a User Group) if there are rights for the User that are different from the Standard Rights defined above, you should create a Rights Exception for that sponsor. To do this, right-click on the item Sponsor Rights Exceptions and select Add from the resulting menu. Then double-click on the newly created item 00-0000001 - No Matching Sponsor EIN to open the Rights Exception Screen and define the specific rights for the Plan Sponsor.
  • 7) Save the User: press File and then select Save from the menu. The User will not be created until you actually save the new User.

* The six-letter User ID should be created by combining the first initial of the first name, first initial of the middle name ('X' if none), and last 4 letters of the User's last name.
Editing a User
If you need to make changes to an existing User, you should follow the following steps:

  • 1) Open the User: press File and then select Open - User from the menu. This will result in a tab being created with information for that User.
  • 2) Editing Basic Information: if you need to change information for the user such as Group, User Name, or Email address, then double-click the User ID/Name. This will open the Basic User Information Screen.
  • 3) Changing the User's Standard Rights: double-click on the item Standard Rights to open the Standard Rights Screen and define the default rights for the User.
  • 4) Adding Sponsor Rights Exceptions: if there are rights for the User that are different from the Standard Rights defined above, you should create a Rights Exception for that sponsor. To do this, right-click on the item Sponsor Rights Exceptions and select Add from the resulting menu. Then double-click on the newly created item 00-0000001 - No Matching Sponsor EIN to open the Rights Exception Screen and define the specific rights for the Plan Sponsor.
  • 5) Editing Sponsor Rights Exceptions: if there is already a rights exception defined for a sponsor and you need to make changes, you can edit those rights by double-clicking on the sponsors name to open the Rights Exception Screen and define the specific rights for the Plan Sponsor.
  • 6) Save the User: press File and then select Save from the menu. The changes that you made will not be stored in the database until you actually save the User.
Deleting a User
Once an employee has left your company, it is a good idea to delete their associated DB Precision User. This ensures that they no longer have access to the system either internally within your network or online from within the portal. To delete a User's account:

  • 1) Open the User: press File and then select Open - User from the menu. This will result in a tab being created with information for that User.
  • 2) Delete the User: right-click the user's name and select Delete from the resulting menu (there is no need to save the user as this is done automatically).
DB Precision Users and Windows Active Directory
DB Precision Users can be associated to a Windows Active Directory account. When this is done, users will not need to enter a user name or password to login to DB Precision. Instead, they will be identified based upon their Active Directory account. To do this:

  • 1) Open the User: press File and then select Open - User from the menu. This will result in a tab being created with information for that User.
  • 2) Enter Windows User Name: double-click the user's name to open the Basic User Information screen, enter their windows user name on this screen and press OK.
  • 3) Save the User: press File and then select Save from the menu. The changes that you made will not be stored in the database until you actually save the User.
