Sponsor Archive Import
The Sponsor Archive Import Screen is used to import documents that have previously been created where you want to now import these into DB Precision for individual Participant's records.
Screen Items
  • Archive Index File: space to specify the csv file which will contain information for this import. This file must contain both an SSN column and a column indicating the full path of the document being imported for each person. While the import can define Archive Description, Type, and Image Description as fixed (the same for all participants being imported), these items can be separately defined for each participant.
  • SSN Column: the column number in the Archive Index File where SSN is located for each Participant being imported.
  • Archive Path Column: the column number of the column in the Archive Index File where full path (including file name) is located for each Participant.
  • Person Web Portal Access: check this box if participants are able to view their own imported document through the Document Search feature of the portal.
  • Sponsor Contact Web Portal Access: check this box if Sponsor Contacts are able to view these imported documents using the Document Search feature of the portal.
  • Calculation Date: the calculation date to assign to each archive. If not applicable, then check the None box.
  • Archive Description: if this is the same for each archive being imported, then select Fixed and specify a description. Otherwise, if it is coming from the Archive Index File, specify the column number that includes the description for each archive.
  • Archive Type: if this is the same for each archive being imported, then select Fixed and choose a type. Otherwise, if it is coming from the Archive Index File, specify the column number that includes the type for each archive. For specifying type, the file should include values as follows:

    • 0: Unknown/Other
    • 1: Benefit Calculation Results
    • 2: Benefit Calculation Request
    • 3: Benefit Election Forms
    • 4: Internet Calculation
    • 5: Benefit Statement
    • 6: Web Plan Highlights
    • 7: Payment Directive
    • 8: QDRO Documents
    • 9: Death Certificate
    • 10: Participant Records
    • 11: Salary Information
    • 12: Service Information
    • 13: Direct Deposit Information
    • 14: Pre-retirement Survivor Election
    • 15: Email Correspondence
    • 16: Paper Correspondence
    • 17: Beneficiary Election
    • 18: Insurance Deduction Election
    • 19: Address Information
    • 20: Participant Proof of Identification
    • 21: Beneficiary Proof of Identification
    • 22: Proof of Marriage
    • 23: Proof of Address
    • 24: Federal Withholding Form
    • 25: State Withholding Form
    • 26: Local Withholding Form
  • Archive Image Description: if this is the same for each archive being imported, then select Fixed and specify an image description ("None given" is the default as this is rarely specified for an archive). Otherwise, if it is coming from the Archive Index File, specify the column number that includes the description for each archive.
Getting Archive Paths
Creating the list of archive paths/file names is easy if all of your files are in the same folder. To create the list of these, do the following:
  • 1: File Explorer: Open File Explorer in Windows and navigate to the folder where the files are contained.
  • 2: Select All Files: Press Ctrl-A.
  • 3: Copy Path Names: On the Home tab of File Explorer, choose Copy path.
  • 4: Paste to Excel: Open Excel and choose Copy path.
