When converting a plan to DB Precision which includes an hours-based service definition where there is an incomplete hours history as of the conversion date, you should perform the following steps:
- 1) Create Reported Amount for Service Override: create a new reported amount ("CreditedServiceOverride" for example) that has an amount type Service Reported, and a Reporting Frequency of Non-recurring. The check box, Amount effective/stop dates capped at Termination Date should be checked.
- 2) Create/Modify Service Definition to Reflect the Proper Hours Conversion Rules: open the plan document and code the Service Provision as if you had a complete hours history (1,000 hour rule for example).
- 3) Modify Service Definition to User Override Reported Amount: on the Service Provision screen for this Service Definition, check the box Override accumulated service with and then select the Reported Amount created in the first step above.
- 4) Run Snapshot as of Conversion Date and Analyze Service Amount Differences: run a snapshot as of the conversion date and compare service amounts reported with what has been calculated by DB Precision. Confirm that all of the differences are due to incomplete hours history (and not due to some problem in the plan coding from step 2). Generate a list of the people with differences such that you have one column, SSN and a second column equal to the correct service amount.
- 5) Import Service Override for All People with Differences: open the Plan Sponsor and create a new Import Definition. Add a column to the row items list (should be column 2) and choose the Reported Amount created in step 1 above as the amount being imported. Double-click on this new column and specify an Effective Date and Stop Date as a fixed date equal to the day before the conversion date.
- 6) Rerun Snapshot as of Conversion Date to Confirm No Differences: rerun the snapshot and confirm that all service amounts now match as of the conversion date for every participant.
