Archive Import
To import archives that have already been created (outside of DB Precision) do the following:
  1. Gather Files to be Imported: gather all of your archive files (pdf files) and put them in a single folder on your network. Each archive that is to be imported must exist as its own file. DB Precision cannot split a pdf file. If the archives that you are importing are in one large file, then you must use Adobe Acrobat to split the file into separate files.
  2. Create Archive Index File: create a file that contains at least two columns and a row for each archive being imported. One column must have rows that contain the full path of each archive being imported. A second column must then contain the SSN of the Person for each archive. This file is usually created in Excel where Column A contains SSN and Column B contains the full path. If importing multiple archives for the same person, you will need multiple rows with the same SSN and then need to use a variable description to distinguish each archive (see next step below).
  3. Archive Details: when importing archives, some items are fixed for the entire import (plan number, calculation date, and portal access), while other items (description, type, and image description) can be fixed or variable. For example, you could import archives where each description was different (2012 Statements, 2013 Statements, etc.). If you are varying anything within the import (description for example), that item must be in a separate column in the archive index file (Column C could be Archive Description for example).
  4. Process the Import: open the Sponsor for whom you are importing and then, on the Home tab within DB Precision, in the Archive category, press the Import button to open the Sponsor Archive Import screen. Here, you will need to specify the path of the Archive Index File along with the details to be applied to each imported archive. Once completed, press OK to process the import.   5. Confirm Your Import: open a few sample participants to confirm that you agree with your imported archives. If you need to delete an import for a sponsor, open that sponsor and then, on the Home tab in the Archive category, press the Manage button to open the Manage Sponsor Archives screen, select the archives import row, and press the Delete button. This will delete all of the imported archives for each person.
