DB Precision lets users transfer participant data, plan coding, and Plan Sponsor information between database servers or server instances. Each transfer applies to one sponsor, rather than all sponsors. A common use is to copy a sponsor or plan to a test environment to test coding or data changes before implementing them in production.
When DB Precision is configured to connect to additional servers beyond production (Test, Backup, or Remote), the Server Data Transfer screen (Copy Between Servers) lets users copy selected sponsor information between those servers. Transfer Server Data is available only when a Plan Sponsor is the active tab.
A system administrator can grant transfer access through Delete/Restore Data on the Standard Rights screen.
Note: Transferring information overwrites the corresponding information in the Target Database. Avoid transferring participant data back to production from a test or other environment.Participant data may have changed in production, including through the portal, since the test copy was created. Transferring it back could erase those changes. Before transferring coding or sponsor information back to production, review the production change logs for changes that the transfer could overwrite.
- Database Information:
- Source Database: Selects the database to copy information from.
- Target Database: Selects the database to copy information to.
- Information to Copy: Selects which information to copy. You can select more than one option.
- Sponsor: Copies the sponsor information.
- Sponsor Archives: Copies the sponsor’s archived documents.
- Plan Documents: Copies the plan coding.
- Person Information: Copies participant records.
- Person Archives: Copies participant archived documents.
- Person Transactions: Includes participant transaction history in the information copied.
- Worktrack Tasks: include this item under Information to Copy when Worktrack Tasks should be transferred to the target database.
- Transfer Group: Controls which participants are transferred and how their data is handled.
- Limit transfer to people with a Reported Amount of: Restricts the transfer to participants whose selected Reported Amount matches the value entered in equal to. For example, select the Reported Amount identifying an employee group and enter the value for police to transfer only that group.
- Delete all people in sponsor on target database prior to transfer: When limiting the transfer to a group, deletes all existing people for that sponsor in the target database before copying the selected group. The target then contains only the transferred group for that sponsor.
- Remove/scramble Personal Identifiable Information (PII): Removes or scrambles identifying participant information in the transferred data. Use this option when preparing a copy for testing or another purpose that does not require the original identifying details.
- Password: Enter the password requested for the transfer operation when this dialog appears.
- Matching EIN: Appears when a sponsor being imported has the same EIN as a sponsor already on the destination database server. Choose how to handle that match before continuing.
- Replace existing sponsor: Uses the imported sponsor in place of the sponsor with the matching EIN. Check the destination and the existing sponsor before selecting this option.
- Create new sponsor with system-generated EIN: Creates a separate sponsor and lets DB Precision assign its EIN.
- Use the following EIN: Uses the EIN entered in the accompanying field for the imported sponsor.
